The iNventory automatic fixed-asset inventory system is based on a handheld device with an integrated RFID reader. Instead of an RFID reader, a barcode scanner can also be used, in which case barcode labels replace RFID tags. The device features a touchscreen display, making operation — as well as the entire inventory process — extremely simple.

Sistem za automatski popis osnovnih sredstava i-Nventory baziran je na handheld uređaju u koji je ugrađen RFID čitač. Umesto RFID čitača moguće je koristiti i bar-kod čitač u kom slučaju se umesto RFID tagova koriste bar-kod nalepnice. Uređaj poseduje ekran osetljiv na dodir tako da je rukovanje kao i sam proces popisa vrlo jednostavan.

Accurate records of the quantity, material composition, and physical location of fixed assets form the basis for preventing various types of losses, including unauthorized removal and unnecessary procurement. Inventory procedures should never be viewed as a routine task — especially today, when inventory lists and inventory reports have become an important subject of inspection by state authorities. To simplify this demanding and complex process, we have developed a complete system based on barcode and RFID labels.

Creating and Applying RFID Labels

The process begins by printing the labels through the automatic selection of fixed assets from the central database using the RFID Print Engine. An RFID printer/encoder is used to create the labels and perform the initial data writing, ensuring that all required RFID labels are prepared in advance and fully ready for application (tagging) of fixed assets. Each label also includes a human-readable section printed directly on the label, with the same information stored in the RFID chip.

Room Label Scanning

The inventory process begins with selecting the inventory committee and setting the inventory date, followed by scanning the RFID label of the room. Each room is marked with an RFID tag containing unique room data such as location, room number, and any additional information required by the user. All assets recorded within the current room are automatically assigned to that room, and scanning the label of the next room automatically begins assigning fixed assets to the newly scanned room.

Fixed Asset Scanning

The next step is scanning the labels of each fixed asset.
Every fixed asset is also marked with an RFID label containing the inventory number, nomenclature, description, and asset status, and it is also possible to store the ID number of the employee responsible for that asset. If scanning is not possible for any reason, manual entry is allowed. In the event of discrepancies in the scanned data (e.g., if a label was incorrectly applied), the information stored in the RFID tag can be corrected on the spot. Naturally, these two functions are protected and can only be performed by authorized personnel using an appropriate RFID authorization card.

The iNventory system is intended for all entities that are legally required to conduct annual and periodic fixed asset inventories, as well as for any organization that wants accurate and timely insight into which fixed assets it owns and where those assets are located. Depending on the number of assets, number of employees, existing software solutions, procedures, and the scale of operations, performing an inventory can take a long time. A portion of the staff will inevitably be unable to perform their regular duties, and in many cases, the process may even lead to a complete interruption of core business activities. With the help of the iNventory system, we have managed to reduce the inventory process for some clients from two months down to just seven working days.

iNventory Software Package

Fixed Asset Recording

The fixed asset records application serves as the central data processing point within the fixed asset inventory system, enabling manual data entry, editing, bulk import and export, as well as asset assignment and de-assignment across different categories.

Categories

It enables the management of all categories other than fixed assets, such as locations, employees, organizational units, cost centers, nomenclatures, and all others. This application is also used to prepare the code lists for the handheld device.

Asset Inventories

Creating inventories, assigning inventory committees, reviewing all previous inventories along with their inventory lists, consolidating inventory results, and generating the final list — including surplus/shortage reports and lists of relocated assets — as well as printing and exporting the final inventory list to Excel.

Inventory Committees

Adding or editing an inventory committee, selecting committee members, downloading inventory lists from the handheld device, generating committee code lists, locking inventory committees, printing inventory lists, grouping lists by committees, and grouping records.

Inventory V3 for Handheld Devices

This application runs directly on the handheld device used for conducting the inventory. After selecting the committee and the inventory date, the procedure consists of cyclically scanning the room label followed by the labels of all fixed assets located within that room.

RFID Print Engine

It is used for printing barcode labels or for printing and encoding RFID labels. The RFID Print Engine includes tools for designing label layouts and printing human-readable information and barcodes.
Communication with the printer is carried out using ZPL II.

Evidencija osnovnih sredstava

Aplikacija za evidenciju osnovnih sredstava predstavlja centralnu aplikacija u sistemu za popis osnovnih sredstava. Svi podaci se upisuju u bazu podataka.

Pomoću nje mogu se vršiti sledeće operacije nad osnovnim sredstvima:

  • ručni unos,
  • izmena,
  • masovni uvoz,
  • izvoz,
  • zaduživanja i razduživanja osnovnih sredstava prema
    • lokaciji,
    • radniku,
    • organizacionim jedinicama i
    • mestu troška.

Takođe se mogu vršiti i sve potrebne operacije nad kategorijama:

  • lokacije
  • radnici
  • organizacione jedinice
  • mesta troška
  • nomenklature
  • popisne komisije

Iz ove aplikacije se vrši i priprema šifarnika za handheld uređaj.

Popisne komisije

Aplikacija za popisne komisije pokreće se nakon što smo kreirali novi popis u aplikaciji Popisi.

Pomoću aplikacije se vrši:

  • dodavanje / izmena popisne komisije
  • odabir članova popisne komisije,
  • preuzimanje popisnih listi sa handheld uređaja
  • generisanje šifarnika popisnih komisija
  • zaključavanje popisnih komisija
  • štampanje popisnih listi
  • grupisanje listi sa popisnim komisijama
  • grupisanje zapisa

Popis OS V3 za handheld

Popis OS V3 je aplikacija koja se nalazi na samom handheld uređaju kojim se vrši popis. 

Osnovne funkcije programa predstavljaju u stvari funkcije kojima se obavlja sama procedura automatskog popisa osnovnih sredstava.

Za štampanje i kodiranje RFID nalepnica koristi se štampač Zebra ZD500R

Za upravljanje ovim, kao i mnogim drugim štampačima ovog proizvođača, razvijena je posebna aplikacija RFID PrintEngine.
